Managing your Season

Think of Seasons as your camp year. They control when families and staff can register — and which season your system defaults to internally.

You can have multiple seasons open for enrollment, but only one Default Season at a time.

Viewing season settings

Head to Seasons in the navigation to:

  • See which season is set as your Default

  • Control which seasons are open for enrollment

  • Manage each season’s settings

Setting a Default Season

Your Default Season is the one that’s pre-selected across your system.

It affects:

  • Dashboard context

  • Admin workflows

Data table views

To change it:

  • Select a season

  • Click Set as Default

Only one season can be your Default at a time.

Setting a season as Default does not control whether families can enroll — that’s managed separately.

If multiple seasons are open for enrollment, parents will be prompted to select which season they’re registering for before continuing. The season they choose determines the registration flow, sessions, forms, and details they’ll see.

Capture interest from families who aren’t ready to enroll

Lead Capture forms

Create forms with unique URLs for different campaigns — useful for open days, website interest forms, or any outreach where families aren't quite ready to enroll.

Creating a lead capture form

Click Add form to get started. You'll be asked to configure a few things:

  • Name → give the form a clear name so you can identify it (e.g. 'Summer Open Day', 'Website Interest').

  • Description → optional, for your internal reference only.

  • Intake form → optionally attach an existing form to appear at the end of the lead capture flow — useful for collecting custom questions.

  • Auto-tags → choose tags to automatically apply to any camper and/or family who submits through this specific URL. Great for tracking which campaign a lead came from.

Managing your forms

All lead capture forms are listed in the Camper leads section. From here you can:

  • See how many leads each form has captured.

  • Preview the form using the eye icon.

  • Copy the unique URL to share with families.

Camper Enrollments

Configure online enrollment and display options for families.

Online enrollment

Enable or disable the online enrollment flow for campers.

  • Opened → families can enroll online.

  • Closed → the enrollment flow is turned off.

Display options

Control what families see during the enrollment process.

  • Show session capacity → display the remaining spots available for each session.

  • Hide prices for approval-required sessions → don't show prices for sessions that require admin approval before confirming a spot.

  • Permit account creation → allow parents to create an account after completing enrollment.

  • Additional questions → Add additional questions at the end of the enrollment flow, managed on a per-session level in session settings

You'll also find your Enrollment URL here — copy and share this link with families to begin enrollment.

Hint: Click the eye icon to preview the enrollment flow before sharing.

Enrollment windows

Configure when online enrollment opens and closes.

  • Priority enrollment opens → the date when families with access codes can begin enrolling.

  • General enrollment opens → the date when all families can begin enrolling.

  • Enrollment closes → the date when online enrollment ends.

For example, you might use Priority enrollment to open registration first to returning or alumni families before opening General enrollment to everyone else. This allows you to reward loyalty, encourage early re-enrollment, and secure core enrollment before your public launch.

Staff Application

Same deal, but for prospective staff.

  • Opened → staff can register their interest.

  • Closed → the link shows a holding message instead.

Age collection

  • Enabled → applicants must provide their date of birth

  • Disable → applicants can proceed without sharing their date of birth

Gender collection

  • Enabled → applicants will be asked to provide their gender

  • Disabled → the gender field is hidden from the application

Additional questions

Add your own questions to gather additional information you need from applicants. Use an existing form, or build a new one.

  • Custom questions appear at the end of the application

  • Choose which questions to display and in what order using our custom form builder

Deleting a season

Need to clear one out? Delete permanently removes the season and all its settings.

Use with caution: Once it’s gone, it’s gone for good!
