Notes

Notes let your team capture and share important information directly on camper, staff, and family profiles. Whether it's a medical reminder, a bunking preference, or a financial follow-up, notes keep everything in one place where the right people can see it.

Adding a note

From any camper, staff, or family profile, navigate to the Notes tab and click Add note. Each note includes:

  • Title - a short summary of the note.

  • Type - categorize the note so it appears in the right context.

  • Content - the body of the note, with rich text formatting.

Click Save to add the note to the profile. Notes are timestamped and attributed to the team member who created them.

Note types and visibility

Note types aren't just for organization - they also control who on your team can see them. Notes are filtered based on a user's permission role:

  • General, Enrollment, and External notes are visible to all team members.

  • Employment and Interview notes are visible to users with staff access.

  • Medical notes are visible to users with medical access.

  • Financial notes are visible to users with financial access.

  • Bunking notes are visible to users with bunking access.

  • Transport notes are visible to users with transport access.

This means a team member with a Medical role will see medical notes on a camper's profile, but won't see financial notes - keeping sensitive information appropriately scoped.

Pinning and alerting

You can pin a note to keep it at the top of the notes list, making sure important information doesn't get buried as more notes are added.

For critical information that needs immediate attention, you can mark a pinned note as an alert. Alerted notes appear prominently on the profile so they can't be missed - useful for things like allergy warnings or behavioral flags that every team member needs to be aware of.

Editing and deleting notes

Notes can be edited or deleted by team members with the appropriate permissions. All changes - including creation, edits, and deletion - are logged in the profile's activity feed for full accountability.
