Set up your enrollment agreement

The enrollment agreement contains the terms and conditions that families must review and accept during checkout. Each season has its own agreement, so you can update the language as needed from year to year.

Viewing the agreement

Navigate to Season > Enrollment Agreement to see the agreement for the selected season. Use the season dropdown to switch between seasons.

The page shows a rich text editor with the current agreement content, a save status indicator showing when the agreement was last saved, and a note if there are unpublished changes waiting to go live.

Editing the agreement

The agreement editor supports rich text formatting including headings, bold text, links, and bullet points. Changes are auto-saved as you type, so you will see a "Saved" indicator update in the header as you work. There is no need to manually save your progress.

Using merge tags

You can insert dynamic content into the agreement using merge tags. These use {{ }} bracket syntax and are available through the editor's merge tag menu. When a family views the agreement during checkout, merge tags automatically populate with the correct camper, parent, session, and other enrollment details - so each agreement feels personalized without any extra effort on your part.

Version history and restoring

Click the history button to view a list of all previous versions of your agreement. Each entry shows when the edit was made so you can track changes over time.

From the version history you can view the full content of any earlier version and restore it to make it your current draft. Restoring a previous version doesn't publish it automatically - it becomes your working draft, giving you a chance to review or make further edits before going live. This is especially useful if you've made significant changes and want to roll back, or if you're starting a new season and want to use last year's language as a starting point.

When you duplicate a season, the enrollment agreement is copied across as a draft. You can then edit it for the new year and publish when ready.

Publishing

Click Publish to make the current draft version live for the selected season. The Publish button only appears when there are unpublished changes - if you see it, it means families haven't seen your latest edits yet.

Make sure to publish your agreement before opening enrollment so families see the most up-to-date terms.

Once published, the agreement is locked in for any family who accepts it during checkout. If you update and re-publish the agreement mid-season, families who already enrolled will have accepted the version that was live at the time of their enrollment, while new families will see the updated version.

Viewing signed agreements

Once a parent accepts the agreement and completes checkout, the signed agreement is accessible on the camper's enrollment profile. You can also download a PDF version of the current agreement using the download button.
