The staff experience
This article covers what prospective and current staff see when they interact with Campfront - from their initial application through onboarding and portal access. Understanding this flow helps you guide your team, troubleshoot issues, and make the most of Campfront's staffing tools.

The application process
Prospective staff begin by visiting your camp's public application page. The application is a multi-step form that collects everything you need to evaluate a candidate.
Details collects basic information - name, email, and phone number. About asks for date of birth, gender, pronouns, and how they heard about your camp. Location covers work authorization status, citizenship, address, and agency (for international staff). Roles captures their availability, experience summary, and which departments they're interested in. Experience asks about their experience level. Forms presents your intake form if you've configured one for the season. Additional lets them upload a resume and write a covering note.
After submitting, the applicant sees a confirmation page. Behind the scenes, their application is converted into an employment record in your staffing pipeline.
If you have multiple seasons with staff enrollment open, applicants choose which season to apply for at the start.
Receiving and accepting an offer
When you send an offer through Campfront (see Making a staff offer), the staff member receives an email with a secure link. No login is required to view it.
The offer page displays all the details - role, department, job title, salary, additional compensation, start and end dates, contract type, and staff type. The staff member can download the offer as a PDF, then click Accept offer to confirm.
After accepting, they're prompted to create their Campfront account if they don't already have one. This involves setting a password, providing a phone number, and completing a one-time SMS verification for two-factor authentication.
Reviewing and signing a contract
Contracts work similarly to offers. The staff member receives an email with a secure link to review the contract, which is rendered from the template you configured (see Building staff contract templates).
The contract page shows the full contract text. The staff member signs by entering their name into the signature field and clicking Accept contract. Campfront records the signature along with a timestamp, IP address, and device information for your records. They can also download the contract as a PDF at any time.
The staff portal
Once a staff member has accepted an offer or contract and created their account, they access the staff portal by logging in. The portal is organized around their employment for the current season.
Dashboard
The dashboard shows their employment status and any outstanding actions that need attention - like pending forms, missing medical information, or an unreviewed offer or contract. Each section of the portal is accessible from a menu grid.
Available sections
The sections a staff member sees depend on their employment stage and your camp's configuration:
Personal shows their contact details, name, date of birth, gender, and pronouns, with the ability to edit each field. Contacts lists their emergency contacts. Medical is a comprehensive section covering the same depth as camper medical records - conditions, allergies, medications (with detailed dosage and timing), hospitalizations, physical limitations, dietary requirements, immunizations, insurance, and care provider information. Forms shows all assigned forms organized by status: outstanding, completed, and optional. Staff complete forms directly in the portal, and forms are locked after submission. References displays the status of each reference request. Staff can add referee details (name, email, relationship) and track which references have been submitted or are still pending. Transport lets staff request arrival and departure transport, with options for bus, self-drive, or drop-off - similar to the parent transport request flow. Visa appears for international staff and captures sponsor details, embassy dates, and visa documentation. Media gives access to camp photos they're tagged in, with search and download options.
Account settings
Staff can change their password, manage connected SSO accounts (Google or Microsoft), set their timezone, and configure notification preferences from their account settings.
Employment stages from the staff perspective
As an applicant progresses through your hiring pipeline, their portal access expands. After applying, they can view their application. After receiving an offer, they can review and accept it. After a contract is sent, they can sign it. Once hired, all portal sections become fully editable so they can complete their onboarding - filling in medical information, completing forms, submitting reference details, and requesting transport.
The dashboard always shows what still needs to be done, making it easy for staff to work through their onboarding checklist without needing to be told what's next.
Notifications staff receive
Campfront automatically sends staff members email notifications for key events:
Offer sent with a link to review and accept
Contract sent with a link to review and sign
Outstanding action reminders when forms or other items need attention
Account invitation to create their Campfront login
Reference requests sent to their referees on their behalf
Staff can manage their notification preferences from their account settings.
