Transport settings

Transport settings decide how much of the transport module your families and staff see. Routes, requests, and bus rosters all sit behind these four switches, so this is the first screen to visit when you set transport up and the first to check when someone says they can't request a ride.

Where to find them

Go to Transport > Settings. The settings apply to your whole camp rather than a single season, so a change here affects every season you run.

Who can request transport

Two switches control who gets to ask for a ride:

  • Allow family requests - lets families view transport options and make requests from the parent portal

  • Allow staff requests - does the same in the staff portal for your team

With both turned off, transport becomes an admin-only tool. You can still build routes and assign people to them yourself, and nobody outside the office sees anything. Camps that arrange transport centrally often prefer this.

Turning a switch on doesn't assign anyone to anything. It opens the request, and you decide what to do with it. See Managing requests and assignments for what happens next.

What you collect with a request

The other two switches decide how much detail comes with each request.

Collect departure details asks families and staff about the journey home as well as the journey out. Without it you're collecting arrivals only, which suits a camp where everyone leaves the same way on the same day. Turn it on when campers go home at different times or by different routes.

Collect flight information adds flight number, airport, travel date, and travel time to the request. This is for camps taking campers or staff from an airport, where a route can't be planned without knowing which flight someone is on. If nobody flies to you, leaving it off keeps the form shorter.

Choosing your setup

Three common shapes, as a starting point:

  • Local day camp - families can request, departures on, flights off

  • Residential camp with airport pickups - families and staff can request, departures on, flights on

  • Camp that arranges everything - both request switches off, so transport stays in the office

Changing settings mid-season

You can change these at any time, and it's worth knowing what a change does to what you've already collected.

Turning a request switch off stops new requests. It doesn't delete the ones you have, so anything already submitted stays on your assignments list and on the family or staff member's record.

Turning a collection switch off hides that field on new requests, and the information you gathered before stays where it is. So if you turn flight information off halfway through a season, last month's flight numbers are still there.

The reverse is the one to watch. Turning a collection switch on partway through means everyone who requested before the change never answered it. Those requests won't have departure or flight details, and nothing prompts the family to go back and fill them in, so you'll need to chase them yourself.
