Adding a note

From any camper, staff, or family profile, navigate to the Notes tab and click Add note. Each note includes:

  • Title - a short summary of the note.

  • Type - categorize the note so it appears in the right context.

  • Content - the body of the note, with rich text formatting.

  • Attachments - optionally attach one or more files to the note.

When adding a note, you can also notify any team member who holds the relevant permission, keeping the right people informed in real time.

Click Add note to add the note to the profile. Notes are timestamped and show the name of whoever last edited them, so if a teammate updates your note later, their name and timestamp take over.

Note types and visibility

Note types aren't just for organization - they also control who on your team can see them. Notes are filtered based on a user's permission role:

  • General, Enrollment, and External notes are visible to all team members.

  • Employment and Interview notes are visible to users with staff access.

  • Medical notes are visible to users with medical access.

  • Financial notes are visible to users with financial access.

  • Bunking notes are visible to users with bunking access.

  • Transport notes are visible to users with transport access.

  • Confidential notes are visible only to users with confidential access. Only someone with that access can create a note as Confidential or change an existing note to Confidential.

This means a team member with a Medical role will see medical notes on a camper's profile, but won't see financial notes - keeping sensitive information appropriately scoped.

Pinning and flagging

You can pin a note to keep it at the top of the notes list, making sure important information doesn't get buried as more notes are added.

For critical information that needs immediate attention, check Flag for attention on a pinned note (this option only appears once the note is pinned). Flagged notes are highlighted with a flag icon and a red badge so they can't be missed - useful for things like allergy warnings or behavioral flags that every team member needs to be aware of.

Editing and deleting notes

Notes can be edited or deleted by team members with the appropriate permissions. All changes - including creation, edits, and deletion - are logged in the profile's activity feed for full accountability.
