Inviting a camper to enroll

How invitations work

Instead of using the public enrollment flow, you create a personalized invitation that sends the family a direct link to complete enrollment. The invitation can include pre-selected sessions, custom payment terms, and an optional message. When the family clicks the link, they are taken through a streamlined enrollment experience with their details pre-filled.

Creating an invitation

From a camper's enrollment profile, open the Actions dropdown and select Invite to enroll. This option is available for campers who do not already have an active invitation.

The invitation flow walks you through:

  1. Session and group assignment - select the sessions and camper group for the enrollment

  2. Confirmation - review the enrollment summary, configure payment terms, add an optional message to include in the invitation email, and choose stage automation options

You can also choose whether to automatically move the enrollment to the Invited stage when the invitation is sent, and to the Enrolled stage once the parent completes payment.

Bulk invitations

Select multiple campers from the enrollments Datatable and use the bulk action to send invitations. When bulk inviting, all selected campers are invited to the same camper group and session. Any discount applied will be applied to all selected campers.

You can also bulk invite parents from the Datatable to send invitations to multiple families at once.

Invitation statuses

Track which invitations have been sent and their current status. Invitations appear on the enrollment profile header with a status badge:

  • Invited - the invitation has been sent but not yet claimed

  • Enrolled - the family has accepted the invitation and completed enrollment

  • Withdrawn - the invitation was cancelled by an admin

To revoke a pending invitation, use the option available on the enrollment profile. You can view full invitation details - including when it was sent, when it was opened, and the payment terms - from the enrollment's overview tab.
