How staff appear on the board

Staff members become visible on the staffing board once they have been assigned a role and department. This typically happens during the offer or contract step, so new applicants will not appear until they have progressed through your pipeline.

Board and table views

The staffing board has two views, switched with the Board and Table tabs on the toolbar.

  • Board - one column per department, with a card for each filled position and an outlined slot for each open one. Drag departments to reorder them, or use Reorder departments to arrange them A to Z, by group, or by most open.

  • Table - one row per slot, hired or open, with columns for staff, job title, department, group, status, contract type, hiring status, gender requirement, staff type, age, agency, country of citizenship, start and end dates, and description. Filter and sort on any column, and use the row menu to view the profile, edit or duplicate the role, or delete an open slot.

Both views share the stats row and Board settings.

Managing departments

Departments represent the teams or areas of your camp. Add one with Add department, then open the department's menu and choose Settings to configure it. Departments appear on your public staff application form by default. To hide one from prospective staff, uncheck Show on staff application form. You can also set a public name and public description to show applicants something different from the internal department name, and pick a Group to cluster related departments together. The same menu lets you rename, collapse, or delete the department, or export it on its own as a PDF.

Managing roles

Roles sit within departments, and each role has a number of slots to fill. Add one from a department's Add role button, or use Add role in the page header and pick the department. The quick form asks for a job title, gender, and number of slots. Choose More options to plan the role in more detail:

  • Gender requirement - Any, Male, or Female

  • Contract type - Seasonal, Full-time, Part-time, Internship, or Volunteer

  • Start date and End date - when you expect the role to run

  • Over 21 required - mark roles that need someone 21 or older

  • Description - what the role covers

Click an open slot to edit these details later, duplicate the role, or delete the slot. Deleting removes one open slot at a time, and removing the last slot deletes the role. A slot with someone in it can't be deleted until you unassign them.

Tracking and insights

The stats row above the board summarizes where you stand: departments, positions filled and open with the percentage of your target, a gender breakdown, and a split between domestic and international staff. Use the chart icon next to the season selector to show or hide it, and set the default for your team under Board settings.

Staff cards carry small indicators for an additional role, a medical condition or medication, and bunking notes. Hover one for the detail. You can hide them across the board with the Profile indicators setting.

Board settings

Open Board settings from the gear icon next to the season selector. Settings apply in both the board and table views and are shared with everyone at your camp, so changing them needs permission to edit staff.

  • Profile indicators - show or hide the additional role, medical, and note flags on staff cards

  • Staffing stats - show the summary row above the board by default

  • Department groups - add, rename, or delete the groups a department can belong to. Deleting a group leaves its departments ungrouped

Each department picks its group from its own Settings.

AI staffing helper

To set up a board quickly, click AI helper on the toolbar and describe the departments and roles you need, such as "Kitchen with 1 Head Chef and 4 Cooks; Waterfront with 6 Lifeguards". Name each department, list the roles and how many you need, and mention any roles that are male or female only. Click Generate staffing and the departments and roles are created for you, ready to edit like any others.

Locking the board

Click Lock board to make the staffing board read-only, which is useful once a plan is final or while you prepare reports. Nobody can add, edit, reorder, or delete departments and roles until it's unlocked, and a Locked badge shows who locked it. Click Unlock board to let changes through again.

Filtering and exporting

Search matches department names, role names, and staff names. Filter narrows the board by:

  • Department group - once you've set up groups, including Ungrouped

  • Role status - Filled or Unfilled

  • Gender - Male, Female, and Non-binary when pronouns are enabled for your camp

  • Staff type - Domestic or International

  • Contract type - the role's contract type, or the hire's when the role doesn't have one

  • Hiring status - Offer sent, Offer accepted, Contract sent, Contract signed, or Contract expired

Filters stack, and the badge on the Filter button shows how many are active. Sort roles reorders the roles inside every department by title, newest first, or open or filled first. When nothing matches, you'll see a No roles match message with a button to clear your search and filters.

Export downloads the whole board as a CSV or PDF. For a single department, open its menu and choose Export as PDF. In the table view, the export button downloads a CSV of the columns you have showing.
