Approving medications
When a parent or staff member adds a medication, or when your team enters one on someone's profile, it arrives as Pending approval. Your medical team reviews it on the Medication approval screen under Medical, and nothing is dispensed until it's approved. Approving a medication is what builds its dosing schedule and starts filling in Upcoming administrations.
If a medication isn't showing up for your team to dispense, it's almost always still waiting here. A medication generates doses only after it's approved.
The approval queue
Medication approval lists every medication across campers and staff, with the patient name, status, medication name, reason, dosage, frequency, route, location, administration times, who last updated the status, and when. Use it as your review worklist. Each record's status is one of four states.
Pending approval - waiting for review, where every medication starts
Approved - verified and dispensing, with its dose schedule generated
Rejected - declined, with a reason on file
Discontinued - stopped partway through, for a medication that's no longer needed
Reviewing a medication
Open the actions menu on any record to review it. Which actions you see depends on the medication's current status.
Approve - confirm the details are correct. Campfront records who approved it and when, and generates the upcoming doses
Reject - decline the medication with a reason, on a pending or approved record
Discontinue - stop an approved medication that's no longer needed. Future pending doses are removed and past records stay on file
Revert to pending - send an approved, rejected, or discontinued medication back for another look
View patient - open the person's profile to see the medication in context
When you reject a medication, you can notify the parent or staff member so they can correct and resubmit. That option is on by default, so leave it as is unless you plan to follow up another way.
Approving several at once
When you've reviewed a set of medications and they're all good to go, select the pending ones and choose Approve selected to approve them together. This runs in the background, so a large batch keeps processing while you carry on with other work.
Skipping the queue with auto-approval
If your team trusts submitted medications and doesn't need a manual gate, turn on auto-approval in Medical settings. With Auto-approve camper medications or Auto-approve staff medications on, new medications are created already approved and start generating doses right away, so they never land in this queue. You can turn it on for campers, staff, or both.
Auto-approval removes the review step entirely. Turn it on only if you're happy for every submitted medication to go straight onto the dispensing schedule.
Prescription photos
If your camp requires a prescription upload in medical settings, a photo of the prescription is required when the medication is added. Once you approve the medication, that photo is copied into the person's documents automatically, so it sits on file alongside their other forms.
Editing and where else you can approve
You can approve, reject, discontinue, or revert a medication from this camp-wide queue or directly from the person's profile. Both act on the same record, so an action in one place shows up in the other. To change a medication's details, open it from the person's profile and edit it there.
