Camper profiles

Profile header

At the top of every camper profile you'll see their photo, full name, active season, and current stage (for example Lead, Applied, Waitlisted, Invited, Enrolled, In session, Alumni, Rejected, Withdrawn, Incomplete, or Future season). An Actions button appears in the top-right corner with context-sensitive options that change depending on the camper's current stage - such as sending an invite, enrolling, or deleting the record.

Quick details

Directly below the header, a row of key details gives you an at-a-glance summary: age, gender and pronouns (if you've turned on Non-binary gender and pronouns under Form options in your camp profile settings), camper group, and home state. These details update automatically as information is added or changed elsewhere in the profile.

Tabs and sections

The rest of the profile is organized into tabs, each focused on a specific area of the camper's record. This structure keeps everything accessible without overwhelming you with information all at once.

What it covers

Overview

A snapshot of the camper's current season, open tasks, family connections, and linked campers - all in one clean view.

Personal

Essential details including contact information, season history, and education background.

Contacts

Linked family members and emergency contacts associated with the camper.

Medical

The camper's medical summary, including any related administrations or medical visit logs. For more detail, see Camper medical records.

Forms

All submitted and pending camper forms. Review submissions, verify responses, request changes from parents, or edit directly.

Transport

Transport assignments and requests for the camper. This tab is visible when the transport feature is enabled and the enrollment is in an active stage.

Billing

Payments, deposits, and balances for the camper's enrollment fees - updated automatically as transactions are processed. For family-level finances, see Family billing.

Tasks

Assigned and completed tasks related to the camper, with a count badge on the tab showing pending items. Visible to users with task management permissions.

Activity

A chronological log of every profile change, note, and completed action. You can also manually log external communications like phone calls and view delivery status for system-generated emails.

Notes

Internal observations, updates, and reminders. Pin important notes to keep them visible at the top of the section and in the Pinned Notes panel on the Overview page. Once a note is pinned, you can also flag it for extra attention.

Media

Photos and files linked to this camper, if you have media library access.

Camper profiles are designed to keep information connected, accurate, and accessible - whether you're working from your desk or managing campers on the go.
