Creating a lead form
Lead forms are created from the season settings. Each lead form collects the following information:
Parent or guardian details such as name and contact information.
Camper details including name, date of birth, gender, relationship, and grade. Families can add multiple campers in a single submission.
Additional questions (optional) can be added by attaching a custom form as a second step. This works the same way as additional questions on enrollment and staff applications, letting you capture any extra information relevant to your camp or sessions.
Auto-tagging
When setting up a lead form, you can configure auto-tagging to automatically tag submissions based on their source. For example, if you attach a lead form to a specific email campaign, you can set a tag so that any leads from that form are automatically tagged accordingly. This makes it easy to track where your leads are coming from.
For attribution that carries through to enrollment, add UTM parameters to the lead form's URL as well. See UTM tracking.
How submissions are handled
Families who submit a lead form drop into the system under the lead stage.
This is distinct from families who submit an enrollment application through an approval-required session, which drop into a separate applied stage.
This gives you a clear way to differentiate between families who have expressed initial interest and those who have actively applied for enrollment.
Lead forms for staff
Lead forms come in two kinds. Everything above covers camper lead forms, where families register interest in sending a camper. Staff lead forms do the same job for recruitment, capturing people who might want to work for you before they're ready to apply.
They're built the same way and sit alongside your camper lead forms under the season. The difference is who they're for and where submissions land.
What a staff lead form collects
The built-in fields cover what you need to make contact and work out whether someone is eligible:
Name and contact details - first and last name, email, and phone number
Citizenship - which shapes whether someone needs a visa to work with you
How they heard about you - the same list your applicants choose from, so recruitment sources stay comparable
Address - optional, and off by default
As with camper forms, you can attach a custom form for anything else you want to ask. That's the place for questions about availability, qualifications, or the roles someone is interested in.
Where submissions go
A submission creates a staff lead at the pending stage. Pending means you have someone's interest and nothing more. There's no application to review yet.
When a lead is ready to go further, converting them creates an employment, which puts them into your staff pipeline proper. From that point they move through the same stages as anyone who applied directly, and the staffing board counts them like any other candidate.
Each staff lead form has a QR code, which works well on a poster at a job fair or on a slide at the end of a season when you're asking this year's team to come back.
Choosing between a lead form and an application
A staff lead form asks for very little, so more people finish it. Use one where interest is the most you can expect: a careers page, a job fair, or an alumni newsletter.
Send people straight to a full application instead when they've already decided to apply and you'd rather collect everything once.
