Campfront AI
Campfront AI is the assistant built into Campfront. Ask a question about your camp in plain English and it answers from your live data. Ask it to change something and it does that too, with your permissions and your approval.
Getting started
Click Ask AI in the top bar of any admin page, or press βJ (Ctrl+J on Windows). The panel opens alongside the page you're on, so you can keep your work in view while you ask.
There's nothing to install, connect, or configure. If you don't see the Ask AI button, Campfront AI isn't switched on for your camp yet. Contact support and we'll enable it.
Your conversation is kept, so you can close the panel and pick up where you left off. Use New chat in the panel header to start a fresh one.
What you can ask
Finding and counting
Describe the records the way you'd describe them to a colleague and Campfront AI works out the filters:
"How many campers are enrolled for 2026?"
"Show me everyone on the waitlist for Session 2"
"Which staff applications are still on review?"
"Find the Robinson family"
It answers for the current season unless you name a different one, and it tells you which season it used. If a number doesn't match what you're seeing on screen, say so. It re-runs the count with the likely difference applied rather than guessing at an explanation.
Reports and breakdowns
Ask for a breakdown and it groups the numbers for you: enrollments by stage, campers by session, staff by department, forms outstanding, cabin occupancy, revenue and balances. When the answer is a real table, a trend, or a funnel, it draws a panel in the conversation instead of listing rows as text. Ask for a chart and you'll get one.
How-to questions
Ask how something works and it searches this help center, then answers from the published articles using the same tab and button names you'll see on your own screen. If the articles don't cover what you asked, it tells you that instead of guessing.
Making changes
Campfront AI acts on records, not just reads them:
Add notes, tags, and tasks, and mark tasks complete
Move enrollments and employments through their stages
Correct a camper's details: name, birthday, gender, pronouns, contact details, address, grade, school, and homeschooled status
Add, edit, or remove entries on a camper's financial ledger, and mark an expected credit as received
Create enrollments and employments
Update form responses and attach files to a profile
Set up a season: sessions, session groups, camper groups, add-ons, discounts, and payment options
Assign campers to cabins and adjust the bunking board
Save a Datatable view
Write and update handbook articles
Using what's on your screen
Campfront AI can see the page you have open: the season and filters applied to it, and the rows you've ticked in a Datatable. So you can select 30 campers, open the panel, and say "add a note to these" without listing anyone. "This camper" works the same way on a profile.
Attachments
Drag a file onto the panel or use the attach button to send images and PDFs, up to five files and 25MB in total. Spreadsheets and CSV files aren't supported here. To bring a CSV into Campfront, use the importer instead.
Approving changes
Reading data happens straight away. Anything that changes a record stops and asks you first. You'll see a card in the conversation naming exactly what's about to happen, with Approve and Deny.
A bulk change takes one approval for the whole batch rather than one per record. Denying is the end of it: Campfront AI won't retry the change, ask for more detail so it can try again, or offer another route to the same result.
There are limits on how much can change in one turn. Around 25 individual changes, or 100 records through a bulk action (20 when creating enrollments or employments). For anything larger it confirms the total with you first and works through it in batches.
Permissions
Campfront AI runs as you. It sees and does only what your permission role allows, so if medical or financial data is hidden from your account, it's hidden from the assistant too. Every action it takes is attributed to your account and appears in the activity feed alongside the changes you make by hand.
It works with one camp at a time, the camp you're signed in to. Ask about a different camp and it tells you it can't reach that data.
Security and your data
Zero data retention
Every request Campfront AI makes to an AI model provider is sent with zero data retention. The provider processes the request, returns the answer, and keeps nothing afterwards. Your camp's data isn't stored on their systems and isn't used to train any AI model. Our providers' data processing agreements prohibit it.
Camps trust us with data about children, including medical information, so this isn't a setting we treat as optional. A model provider that can't offer zero data retention isn't one we use.
What Campfront stores
Your conversations are stored in Campfront itself, inside your camp's own data and under the same isolation as every other record. That's what lets you close the panel and come back to a conversation later. Alongside them, every question asked and every change made through the assistant is written to an audit log recording who asked, what ran, and when.
Where it runs
The AI service runs in the same US East (Virginia) region as the rest of Campfront, on the same encrypted connections.
Boundaries it can't cross
Another camp's data, and anything your own role can't see. Both boundaries are enforced by Campfront before a request ever reaches a model, not by asking the model to behave itself.

Getting better answers
Name the season when you don't mean the current one
Tick the rows you care about before you ask, then say "these"
Ask for a chart or a table when you want the numbers laid out
Push back when a figure looks wrong. It checks again rather than defending the answer
Keep it to camp operations. It won't answer questions outside Campfront
