Keeping a medical log

The Medical log under Medical is your record of every health-center visit and incident, from injuries and illnesses to allergic reactions, mental-health check-ins, and routine care. Each entry captures who was seen, why, what you found, what you did, and how it was resolved, so your team keeps a consistent, searchable history for the whole season. It's a separate record from medication dispensing, with its own purpose.

Adding a log entry

Open Add log entry and start by searching for the camper or staff member. Then record the basics of the visit.

  • Assessed by - the staff member who saw the patient, which defaults to you

  • Date and time - when the visit happened, which can't be in the future

  • Assessment location - where they were seen. Type a new location or pick one your team has used before, and new locations are saved for next time

  • Log type - the reason for the visit

Log type is one of Injury, Illness, Allergic reaction, Environmental (heat, cold, sun), Mental health, Routine care, Offsite medical care, Overnight patient, or Other.

Recording what happened

Once you've chosen a log type, capture the detail of the visit.

  • Chief complaint - the presenting issue in a few words

  • Notes - your assessment findings and the treatment you provided

  • Vitals - temperature, heart rate, respiratory rate, and blood pressure, if you took them

  • Disposition - the outcome, one of Returned to activities, Rest in cabin, Sent to health center, Rest in health center, or External referral

  • Contacts notified - a checkbox to confirm you told a parent, guardian, or emergency contact

  • Follow up required - a checkbox to flag an entry that needs a check back later

Notes are required, so every entry says what actually happened. Chief complaint and vitals are optional. Add vitals only when you took them.

Recording medication given during a visit

If you gave any medication during the visit, add it to the same log entry with Add administration. Pick from the patient's approved prescriptions or their approved over-the-counter medications, or record something else. Doses logged here also show up on Past administrations, tied back to the visit, so you don't record them twice.

Keeping the right people informed

When you save an entry, you can notify other admins with medical access. They get a link straight to the log, which is handy for a serious incident a director or lead nurse should know about right away.

Finding past entries

The Medical log opens on today's entries. Switch between Today, This week, This month, and All, and change season from the header. Export the log as a CSV or PDF for your records or an incident report.
